Exporting to CCH Axcess When Filing Status Changes

How to avoid and resolve errors shown in the CCH Batch Manager

When a client’s filing status changes from Married Filing Jointly to Single or Qualifying Surviving Spouse, the client record in CCH Client Manager must be updated before you export the return. If the return is simply rolled forward and edited without this update, the export will fail. This article explains why the error occurs and how to resolve it.

Why the Export Fails

When you roll forward a Married Filing Jointly return, the original Primary Taxpayer carries over on the client record in CCH Client Manager.

If the new year's return is prepared under the person who was previously listed as the spouse, but as the Primary Taxpayer in CCH Client Manager has not been updated to match, the export will fail.

This error occurs because the Primary Taxpayer on the return does not match the Primary Taxpayer listed in CCH Client Manager for that client ID. CCH Axcess requires these to match before it can import the data.

When This Situation Commonly Occurs

You may encounter this error after:

  • Divorce - one spouse files separately going forward
  • Death of a spouse - the surviving spouse files as Single or Qualifying Surviving Spouse in a later year
  • Any other change where the person previously listed as the spouse is now the sole filer

In each of these cases, if the return is prepared under the person who was previously the spouse, update the client record in CCH Client Manager before exporting.

How to Resolve the Error

Step 1: Open CCH Client Manager

Navigate to the client record associated with the return.

Step 2: Update the Primary Taxpayer

Edit the client record so that:

  • The person now filing the return is listed as the Primary Taxpayer
  • Their name and SSN match the Primary Taxpayer shown in Juno and on the return
Save your changes.

Step 3: Re-Export from Juno

Re-import the .dat file from Juno into CCH Axcess. The export should now complete successfully.

Important Notes

  • Updating the primary taxpayer and filing status within the return alone is not sufficient - the client record in CCH Client Manager must also be updated.
  • If the client structure changes significantly (for example, a new client record is needed rather than editing the existing one), follow your firm's standard CCH Axcess client setup procedures before exporting.
